Executive summary
As the customer’s creative operations grew, manual processes and inefficient Workfront automations created bottlenecks. Acheron stepped into streamlining their Adobe Workfront environment using Workfront Fusion, integrating with Agile PLM, Box, Tenovos DAM, and Google Cloud Services.
We automated 80% of routine tasks, optimized existing Fusion scenarios to reduce operation counts, and lowered platform costs. These improvements accelerated campaign delivery, enhanced team productivity, and ensured consistent performance, backed by Acheron’s 24/5 global support.
By automating 80% of Workfront operations and aligning cross-system workflows, Acheron didn’t just streamline processes—we empowered Marketing and Creative Ops to focus on strategy, not status updates. If you’re looking toturn manual bottlenecks into business momentum, let’s explore what automation can unlock for your teams.
Challenges
The client’s creative operations were hindered by fragmented workflows and a heavy reliance on manual processes within Adobe Workfront. Project creation, task assignments, and metadata entry were all handled manually, leading to delays, inconsistent execution, and increased risk of human error.
A lack of standardized templates and queue structures made it difficult to scale operations or coordinate effectively across departments. Critical systems such as Agile PLM, Tenovos DAM, and Box were not integrated, resulting in data silos, limited visibility, and poor traceability across the content lifecycle.
These inefficiencies led to missed deadlines, duplicated efforts, and a noticeable drop in productivity across teams and portfolios, impacting both speed to market and overall operational effectiveness.
Objectives
The core objective was to eliminate repetitive manual processes through intelligent automation using Adobe Workfront Fusion. Acheron aimed to build a seamless, integrated workflow across Agile PLM, Tenovos DAM, Box, and Google Cloud Services (Data Lake), enabling consistent data flow across platforms, projects, portfolios, and reportingsystems.
A key initiative was to review and optimize existing Workfront Fusion scenarios. Many of these were built by internal teams or third-party vendors and contained redundant or inefficient operations. By redesigning these workflows, Acheron significantly reduced the number of operations executed, bringing down ongoing Fusion licensing costs without compromising functionality.
Additional priorities included improving platform reliability, standardizing project templates, configuring smart intake routing, and automating user lifecycle management (onboarding, offboarding, and inactivity cleanups).
Ultimately, the goal was to deliver a scalable, cost-efficient Workfront environment backed by Acheron’s reliable 24/5 global support—freeing up teams to focus on creativity and execution, not system maintenance.
Results
- Automated Project Creation: Incoming requests are now auto-converted into fully structured projects in a single step, eliminating manual setup and accelerating the intake-to-execution cycle.
- Intelligent Field Population: Key project fields such as Project metadata, ownership, and timelines are auto-filled based on request data and PLM Data, reducing human error and ensuring consistency across portfolios.
- Cross-Project Dependency Automation: Dependencies between related projects are automatically created and managed, keeping tasks in sync and maintaining alignment across teams.
- Controlled Access Post-Issue Conversion: Once an issue is transformed into a project, access to the original request is restricted to ‘View Only’, preventing accidental edits and preserving historical context.
- Seamless System Integrations: Real-time data synchronization was achieved across Agile PLM, Box App, Tenovos DAM, and Google Cloud Services, reducing duplication, improving accuracy, and enabling better collaboration and Reporting.
- Smarter Task Assignment: Automated logic identifies overloaded resources and resolves conflicts before they impact delivery, optimizing task allocation and boosting overall efficiency.
- Standardized Execution via Templates: Consistent project structures and approval flows ensure uniform execution across portfolios and programs.
- Optimized Intake Queues: Requests are intelligently routed based on category, type, and priority, ensuring faster assignment and resolution by the right teams.
- Fusion Scenario Optimization & OpEx Reduction: Acheron reviewed and re-engineered several inefficient pre-existing automation scenarios. By reducing the number of operations per scenario, the team significantly lowered ongoing Workfront Fusion costs by 35%, delivering long-term savings without compromising automation capabilities.
- Reliable and Scalable Support: In the Last 12 months, Delivered over 782 support resolutions with 100% SLA compliance and zero escalations. Supported more than 2,000+ users with a >96% monthly ticket closure rate.
- Automated User Lifecycle Management: Onboarding, offboarding, and inactive user cleanup are now fully automated, keeping access secure, roles up-to-date, and administrative overhead low.
- Built for Scale: The platform is now capable of handling a growing number of projects and users without sacrificing speed, reliability, or control.
