Work management License Optimization
We recently supported a leading American multinational toy manufacturing and entertainment company, headquartered in California, in managing and optimizing their Work management licenses following the new licensing model rollout in May 2024.
The Challenge
With the new model, the customer was assigned 1,400 Light licenses. However, not all users were active, many accessed their Work Management Platform only occasionally, yet still occupied a paid license seat. This significantly increased licensing costs unnecessarily.
Our Approach
- Developed an automation workflow to track user login activity, notify inactive users, and automatically disable accounts after prolonged inactivity.
- Conducted a detailed review of user roles and usage patterns to assign the most appropriate license types based on actual needs.
- Presented a license optimization plan to stakeholders, enabling better use of available Standard licenses under existing contracts.
The Result
By applying this structured review and cleanup process, we helped reduce the overall licensing cost from $425,000 to $180,000, ensuring the customer only pays for what they truly need.
